Portal Search allows you to explore the available assets in your organization’s Portal by searching for keywords, phrases or filenames particular to the content you’re looking for. The included search filters allow you to refine your search by file type, orientation, date and other attributes, allowing you to quickly locate, request access or download the files you need without leaving the Portal.

Using Filters & File Attributes
Included in the Portal Search experience is the ability to narrow down results using filters, file attributes and advanced search operators. Filters are located in the left pane and can be applied to any search.

Limits results to a specific file type, like images, video, audio or document-based files. Note: PDF files are classified as image files.

Limits results to a single orientation of an image or video, i.e. horizontal vs. portrait. |

Limits results to only files that you have been granted permission to download. Note: This filter is particularly useful when used to locate actionable files. |
Priced |
Limits results to images that are priced and available for purchase. |

Limits results to specific filenames. Only filenames with an exact match will be returned. |
Keywords |
Limits results to files with an exact keyword match. |
Date from/Date to |
Limits results to files created on, after or within a specific date range. |
Custom Metadata |
Limits results to files tagged with specific Custom Metadata. These filters will only display if an organization is using our Custom Metadata feature. |
Advanced Search Operators
To further refine your search results, the following advanced search operators may also be used:
- Use “&” to find files that contain both words: image & photo
- Use “|” to find files that contain either word: image | photo
- Use “-” to find files that contain “image” but not “photo”: image -photo
- Use “(“ and “)” to group parts of a query: (photo | photographer) image
- Use quotes to match a phrase: “the best photo”
- All of these may be combined; “the best photo” & (portrait | travel) photographer
Note: PhotoShelter uses search stemming. This means that a search for "end" will return results that include "endings" and "endly." To search for files that don’t include stemmed words, exclude them from your search using "-". For example, to search for the very specific keyword "end", you will search for: end -endings -ending -endly -ends (and any other variation you think might be in your Library as a keyword).
Downloading from Portal Search
After searching for files on the Portal, users can download up to 250 files at once at their largest common size.
Downloading multiple files from Portal Search results:
- Click "Select" in the Portal footer.

Use the Select icon on an image thumbnail to select an individual image.
- TIP: Use the Shift + Click shortcut to select multiple items in a group.
- Once your selections are made, click "Download" in the Quick Actions toolbar.
- Select the file format and size needed for download. If multiple file types are present, make a selection for each file type as indicated.
- A ZIP folder containing your download should begin automatically.
NOTE: When downloading multiple files from Portal Search results, files are available for download at their largest common size. For example, if your search results include a 1200px image and a 2400px image, only a 1200px download size will be available.
Downloading a single file from Portal Search results:
- Click on an image thumbnail to view a single file.
- Click the Download icon in the Portal footer.
- Select the file format needed for download and click “Download.”
- Your download should begin automatically.
FAQ
What if I don’t see the expected results?
If no results were found, or, the files you expect to see do not appear in your search results, try:
- Searching for a different term
- Adjusting your filters in the left pane
- Logging in to view your Invited Galleries and all publicly visible files
If you still don't see the search results you are expecting, use the "Contact" link at the top of the Portal to reach out to the Admin and request access.

How can I limit my Portal Search results to display only the files I can download?
Toggling the Usage filter to display “Only files I can download” will narrow down search results to display only those files to which Library Staff has granted you download access.
To request download access to files, contact your organization’s Library Staff or Admin.
My ZIP folder will not download, is downloading slowly or cannot be opened.
Larger ZIP folders may take longer to complete. Make sure that your browser is updated to the latest version and that your computer has enough storage to account for the size of the ZIP folder being downloaded. If you're unable to open or uncompress the ZIP folder after downloading is complete, we recommend using an application that can uncompress 64-bit folders.
