Unlike image files, other file types do not have a standardized set of metadata fields. As such, we've simplified our Metadata pane so that all files in your account have the same metadata fields available. This helps improve search results by allowing end-users to search for a wider set of terms to locate the files they need.
Additionally, when downloading video files from the Library, Library Staff has the option to embed updated metadata into video files.

Getting Started
In Lumen, we've condensed the Video and Image IPTC metadata accordions into one simple Metadata accordion, meaning that the IPTC metadata fields once available for image files are now also available for video files. We've also added a few settings that make working in the Metadata accordion simpler and faster.
- The Expand all and Collapse all buttons are helpful when editing single metadata fields or when re-ordering your fields:
- The drag anchor to the left of each metadata field allows you to re-order the fields depending on your team's needs, i.e. if your team uses "Keywords" or "Web Statement URL" frequently, drag them to the top of the accordion. Fields will retain the order you choose without affecting another Library Staff member's preferred order.
- Toggle between the Edit and Delete icons to edit existing metadata or delete existing metadata
Editing Metadata for a Single File
- Select a file in the Library
- In the right pane, click Edit Metadata
- Add your metadata to the relevant fields and click Save at the bottom of the right pane
Batch Editing Video Metadata
- In the Library, select 2 or more video files
- In the right pane, click Edit Metadata
When batch editing metadata for multiple files, you'll have three options: Append to existing metadata, Replace existing metadata and Delete existing metadata.
- Append to Existing Metadata appends new metadata to the existing metadata on all selected files. It does not delete existing metadata
- Replace Existing Metadata replaces all existing metadata on all selected files. Metadata that has been replaced cannot be reverted
- Delete Existing Metadata deletes all metadata in a chosen field for all selected files. Metadata that has been deleted cannot be reverted
Deleting Existing Metadata
- Toggle the Delete icon next to the relevant field to Delete existing metadata
- At the bottom of the accordion, click Save
- In the prompt that appears, confirm the action and click Delete
Captions & Subtitles
Library Staff can download, edit and delete caption files in the Library and set a caption type during upload.
Library Staff can upload caption files in SRT or VTT format and in any language. If your team is looking to provide captions in multiple languages, separate caption files should be formatted and uploaded individually in each language you’d like available to viewers.
Closed Captions vs. Subtitles
PhotoShelter's video player supports two caption types: closed captions and subtitles. Subtitles are translations of spoken audio in a video whereas closed-captions include non-verbal cues and speaker changes as well as translations of spoken audio. To enhance accessibility during video playback, we suggest selecting "Closed Caption" as the caption type.
To upload a caption file:
- Select a video file in the Library
- Click the Captions & subtitles accordion in the right pane
- Click or drag to upload your SRT or VTT caption file
- In the window that appears, select the caption language and choose a caption type, either Closed Caption or Subtitle
- Click Add
Download, edit or delete a caption file:
- Select a video file and click the Captions & subtitles accordion in the right pane
- Select the corresponding icon to Download or Edit the caption file
- To delete an existing caption file, click Edit > Delete
