Overview
Integrated Accounts gives you an easy way to share files with other divisions of your organization by linking two or more PhotoShelter for Brands accounts together. Once linked, Library Staff can share individual Galleries or entire Collections with the other members of the Integrated Account - so creative assets can be used by different teams for maximum ROI - no more recreating assets you already have, wasting time searching for assets, or duplicating costs.
Purchasing
Please get in touch with our Customer Success team to purchase an Integrated Account for your organization. Integrated accounts can be created from new or existing PhotoShelter for Brands accounts.
Sharing content with other member accounts
After the Customer Success team has set up your Integrated Account, you’ll be able to share specific Galleries or Collections with any other member (account). Sharing in Integrated Accounts gives the recipient permission to download or copy the Original file.
To share a Gallery or Collection:
- Open your Library
- Select the Collection/Gallery you want to share
- Click Library Visibility and Access in the right pane
- The visibility of the container must be set to Everyone or Those With Permission
- Turn on inheritance if you want the Collection or Gallery to inherit permissions from its parent
- Click Add Permission
- Click either Save & Notify or Save
- Clicking Save & Notify sends an email notification to the Library Staff of the accounts you’re sharing with. You can also add a custom message to the email to provide details like what you’re sharing and how it can be used
- Clicking Save will give Library Staff of the accounts you’re sharing with access to the Collection or Gallery but no email notification will be sent
Browsing content shared by other member accounts
When a member of your Integrated Account shares content with your account, you’ll see it appear in the left pane of the Library in a new accordion called Shared Libraries.
To browse this content:
- Open your Library
- Click on Shared Libraries
- Click on the name of the member account you want to browse
- Click on a Collection or Gallery to see it’s content
Searching for files shared by other member accounts
If the other members of your Integrated Account have shared large amounts of content with you, searching for files by keyword might be faster than browsing shared Galleries, especially if you aren’t sure which Galleries to look in.
To search for shared files:
- Click on File Search in the Left Pane of the Library
- Then, click on the Shared Files tab
- Enter your search criteria and (optionally) select one or more accounts from the Shared Libraries accordion to constrain search results to files shared by a specific member account(s).
- Click Search
Downloading or copying content shared by member accounts
After another member of your Integrated Account has shared content with you, you have several options based on what needs to happen to that content. If the content does not need to be used immediately, you can leave it alone (you’ll still have access to it as long as it is shared with you). If the content does need to be used immediately you have two options:
Download files from a shared Gallery
- Open a Gallery shared by another member of your Integrated Account
- Select one or more files
- Select Download from the Actions menu
- Save the zip file on your computer
Copy files from a Shared Gallery to your Library
- Open a Gallery shared by another member of your Integrated Account
- Select one or more files
- Select Copy to my Library from the Actions menu
- Type the name of an existing Gallery or click Create new and copy to create a new Gallery and copy the files into it
FAQ
When I copy files to my Library, do they use up storage space in my account?
Yes. Whenever the Copy to my Library Action is used, new, real (not virtual) copies of the files are made in your account. This has two main benefits:
- You can edit the files however you need without affecting the copies in the member account that shared them.
- You can organize and share the files however you see fit without affecting the copies in the member account that shared them.
