Overview

Integrated Accounts are an easy way to share files with other divisions of your organization by linking two or more PhotoShelter for Brands accounts together. Once linked, Library Staff can share individual Galleries or entire Collections with the other members of the Integrated Account so that creative assets can be used by different teams for maximum ROI. No more recreating assets you already have, wasting time searching for assets, or duplicating costs. 

Purchasing

Please get in touch with our Customer Success team to purchase an Integrated Account for your organization. Integrated accounts can be created from new or existing PhotoShelter for Brands accounts. 

Sharing content with other member accounts

After the Customer Success team has set up your Integrated Account, you’ll be able to share specific Galleries or Collections with any other member (account). Sharing in Integrated Accounts gives the recipient permission to download or copy the Original file.

To share a Gallery or Collection:

1. Open your Library and select the Collection/Gallery you want to share
2. Click Portal Sharing in the Action toolbar 
3. Enter the name of the Shared Library and click Save Changes
   • The visibility of  the container must be set to Everyone or Those With Permission
   • Turn on inheritance if you want the Collection or Gallery to inherit permissions from its parent

Browsing content shared by other member accounts

When a member of your Integrated Account shares content with your account, you’ll see it appear in the left pane of the Library in a new accordion called Shared Libraries. You can use the arrow next to your default Library to condense the accordion if needed.

To browse this content:

1. Open your Library
2. Click on Shared Libraries
3. Select the Shared Library you want to browse
4. Select a Collection or Gallery to browse content inside

Searching for Shared Files

If the other members of your Integrated Account have shared large amounts of content with you, searching for files by keyword might be faster than browsing shared Galleries, especially if you aren’t sure which Galleries to look in.

To search for shared files:

1. In the left pane, select a Shared Library.
2. Enter a keyword in the Search bar. You can narrow down your search further using filters. 

Downloading & Copying Shared Content to your Library

As a member of an Integrated Account, you can search for, download or copy files from a Shared Library. Downloaded files will download directly to your computer, whereas copied files can be copied to your default Library, either to an existing Gallery or a new Gallery.

Download files from a shared Gallery

1. Open a Gallery or run a Search for assets shared by another member of your Integrated Account
2. Select one or more files
3. Select Download from the Actions menu
4. Save the zip file on your computer

Copy files from a Shared Gallery to your Library

1. Open a Gallery or run a Search for assets shared by another member of your Integrated Account
2. Select one or more files
3. Select Copy to my Library from the Actions menu
4. Type the name of an existing Gallery or click Create new to create a new Gallery

FAQ

When I copy files to my Library, do they use up storage space in my account?

Yes. Whenever the Copy to my Library Action is used, new copies of the files are made in your account. This has two main benefits:

1. You can edit the files however you need without affecting the copies in the member account that shared them.
2. You can organize and share the files however you see fit without affecting the copies in the member account that shared them.
