Customize Metadata Field Order and Visibility

Metadata Fields Settings lets you control which metadata fields appear in the Library metadata editor and the Portal info panel, and in what order. Changes apply across your entire org and take effect immediately after saving.

Note: Configuring Field Settings requires Library access.

Access Fields Settings

  1. Click Settings
  2. Click Metadata 
  3. Click Fields Settings

You'll see a list of all metadata fields available on your account — including IPTC fields and any custom metadata fields — with controls for reordering and visibility.

Reorder fields

Fields appear in the metadata editor, search, and Portal in the order configured here.

  1. On the Field Settings page, click and drag a field row to its new position
  2. Click Save

Note: Sort order is shared between the Library metadata editor and the Portal info panel — there is one field order that applies to both.

Control field visibility

The visibility of fields in the Library and Portal are controlled independently. A field can be visible in the Library editor but hidden in the Portal.

Hide or show a field in the Library editor

  1. On the Field Settings page, find the field you want to update
  2. Click the Library visibility toggle to show or hide the field
  3. Click Save

Note: Hiding a field from the Library editor does not delete its data. Any values stored on existing assets are preserved. Hiding a field in the Library also hides in search and the Portal.

Hide or show a field in the Portal 

  1. On the Field Settings page, find the field you want to update
  2. Click the Portal visibility toggle to show or hide the field
  3. Click Save

Note: Hidden Portal fields do not appear to portal viewers even if they contain values.

Save or revert changes

  • Click Save to apply your changes immediately across the Library and Portal
  • Click Revert to discard any unsaved changes and restore the last saved configuration

Default behavior

If metadata field settings have not been customized on your account, all fields are visible in both the Library editor, search, and the Portal, in the default system order.
