To help with wayfinding, we've condensed the container-level and file-level actions into an Actions toolbar. You'll see different actions depending on what type of container is selected, i.e. Collection vs. Gallery vs. File.
In your Library, you can select multiple Galleries or Files using the "Select All" button at the top-right of the center pane:
Alternatively, you can highlight multiple items by dragging a selection box with your mouse, or by using SHIFT+CLICK on a Gallery or File thumbnail (highlighting the file name will select the name, not the file - click the thumbnail) and then SHIFT+CLICKing another item lower on your list to include a range of multiple items.
Collection Actions
Take actions on a selected Collection using the More menu, or select one or more Galleries within a Collection to activate the Actions toolbar.
Actions you can take on Collections include:
- Copy Portal Link
- Move to Collection
- Delete a Collection
- Disable Watermarks
- Rename a Collection
- Add a Collection Description
Copy Portal Link
- Select a collection and click More
- Click Copy Portal Link
- The link to the collection on the Portal will be copied to your clipboard automatically
Move to Collection
- Select a collection and click More
- Click Move to Collection
- Select a collection to move the container into. You can also create a new collection.
- Click Move
Delete a Collection
- Select a collection and click More
- Click Delete
- Confirm the container selected for deletion, noting the nested collection and gallery count
- Type DELETE into the box provided
IMPORTANT: Deletions cannot be undone. Files will be moved to the trash unless they have copies in other galleries.
Enable/Disable Watermarks
- Select Galleries within a Collection to activate the Actions toolbar
- Click Watermarks to disable or enable watermarks for the files in the gallery
Rename a Collection
- Select a Collection
- In the right pane, click the Collection name
- Rename the Collection (changes are applied automatically)
Add a Collection Description
- Select a Collection
- Expand the Description accordion in the right pane
- Type your description into the field; changes are saved automatically
- Delete the content in the Description field to remove the existing Description

Enable/Disable Watermarks
- Select a gallery and click More
- Click the toggle next to Watermarks to disable or enable watermarks for the files in the gallery
Delete a Gallery
- Select a gallery and click More
- Click Delete
- Confirm the container selected for deletion, noting the file count
- Type DELETE into the box provided

Rename a Gallery
- Select a gallery
- In the right pane, click the gallery name
- Rename the gallery and click the blue check to save
Add a Gallery Description
- Select a Gallery
- Expand the Description accordion in the right pane
- Type your description into the field; changes are saved automatically
- Delete the content in the Description field to remove the existing Description
Remove from Collection
The option to "Remove from Collection" will appear if the Gallery you have selected is located in multiple places in your Library.
Clicking "Remove from Collection" will only apply to the Collection the Gallery is nested under. The removed Gallery will still appear in the other Collection(s) it was assigned to.
File Actions
At the file level, you can share, download, adjust the image orientation, copy to gallery, move to gallery, copy an image to a Workspace, set an image as the gallery cover image, and delete images from their respective gallery.

Share
- Select a file in the Library and click Share in the right pane menu
- Select the image type to share and click Generate Share link
- In the window that appears, copy the link to send it externally, or click Email link to email the link to a user or user group
- If needed, edit the Subject and Body of your message and determine whether or not you need a copy of the email
- Click Send
Download & Crop
- Select a file in the Library and click the Download icon in the right pane menu
- In the window that appears, choose the image format
- Select your embedded metadata preference. By default, images will download with updated metadata embedded on the file. Uncheck this option if you want to download the file with its original metadata.
- Optionally, crop the image before download by clicking Crop. When cropping an image, choose one of the social media presets, or set a custom or 1:1 crop.
Copy Portal Link
- Select a file in the Library and click Copy Portal Link in the right pane menu
- The Portal link to the image will be copied to your clipboard
Rotate Image
- Select a file and click More
- Use the quick select buttons to rotate the image 90 or 180 degrees
Copy to Gallery
- Select a file and click More
- Click Copy to Gallery
- Select a gallery to copy the file to or create a new gallery
- Click Copy
Move to Gallery
- Select a file and click More
- Click Move to Gallery
- Select a gallery into which the file will be moved or create a new gallery
- Click Move
Copy to Workspace
- Select a file and click More
- Click Copy to Workspace
- Select a Workspace to add the file to or create a new Workspace
Set Cover Image
- Select a file and click More
- Click Set as cover
Delete a File
- Select a file to delete and click More
- Click Delete
- Confirm the deletion and click Move to Trash
Note: You can recover a file from the Trash by navigating to the Trash in the left pane and dragging the image to an existing gallery.
Remove from Gallery
With an Image/Asset selected, if the same image/asset exists in multiple Galleries in your Library, an option will appear to "Remove from Gallery" under the action toolbar/options menu (near delete/rotate).
Clicking "Remove from Gallery" (this can be done with Galleries that appear in multiple Collections as well) will only apply to the Gallery where the image or asset is located. The removed Image/Asset will still appear in any other Galleries where it is also located.
Send to Socialie (from the PhotoShelter for Brands Library)
Using PhotoShelter for Brands, you can send content directly to your Socialie media library, right from your Brands Library.
To send content from your Brands Library, simply select the asset(s) you'd like to send over to Socialie. With the asset selected, there are three spots where you can send the content to Socialie:
After sending content to Socialie, there are a few things to note:
- If the assets exactly match a rule in Socialie, they will be pushed to the Socialie media library and processed through the rule. Duplicate suggestions will not be sent.
- If the assets do not exactly match a rule, you can manually send the suggestion to your Socialie account (see above screenshot)
- After your asset(s) are sent to Socialie, the Socialie tab (shown above) will display suggestion status and engagement statistics inside PhotoShelter for Brands in a new accordion on the asset info panel.
- Engagement, reach & impressions data will be aggregated across all publishers who have posted the content. This data is refreshed every 2 hours for the first 2 days after content is posted, then again at 7 & 28 days after it is posted for each post.
- This panel will link out to Socialie so you can see the real-time data within Socialie.
- The Send to Socialie button does not have an age limit. Previously, assets older than 28 days could not be re-processed in Socialie due to technical limitations.
- If you do not have Socialie as part of your subscription bundle, clicking on Send to Socialie will open a modal with messaging that you will need our Socialie add-on to use the feature, with an option to learn more.
- We support most standard file formats for manually sending content, with the exception of the following formats:

Batch Rename Files
Selecting two or more files in a Gallery expands the Actions toolbar at the top of your screen and the right pane with additional options. One of these options is Rename, which allows you to batch rename files in your selection.
Our Rename feature allows you to sequentially rename files by adding a prefix and a starting number for the files in your selection, i.e., "Lumen01, Lumen02, etc."
