Using the PhotoShelter Desktop Uploader app
1. Open the PhotoShelter Desktop Uploader on your desktop and sign in using the email address and password associated with your PhotoShelter account.
- If your organization has enabled SSO, you will not be able to login through SSO with this application. You will need to set a password to go with your email address as a PhotoShelter login in order to use this app.
2. Note the two sides of the PhotoShelter Uploader. The left side represents your computer's file structure, while the right side displays the Collections and Galleries in your PhotoShelter Library. If you are a contributor to more than one PhotoShelter for Brands Library, use the Switch button to select the PhotoShelter for Brands Library (or PhotoShelter for Photographers account) you would like to load to.
3. Using the drop-down menu at the top of the left side, locate the folder or image files you'd like to upload. If you can navigate to the folder on your computer, you can navigate to it in this application. External hard drives plugged-in to your computer are usually found in the "Volumes" folder on your Mac.
Tip: Able to locate a specific folder on your computer but unable to find it in the Desktop Uploader left pane? You can drag and drop a folder (even one stored on a server - just make sure your computer is connected to it first) into the left pane of the Desktop Uploader to "jump" to that location on your computer or the network.
3. Once the folder or file(s) of choice appear in the left window pane of the Uploader app, select what you want uploaded to your account.
- Upload one or more folders from your desktop into a Collection (the folder icon in the right pane) (great for bulk uploads because this method preserves existing folder structure)
or
- Upload one or more files from your desktop into a Gallery (the image icon in the right pane)
4. In the right window pane, there should be a list of all Collections and Galleries in your PhotoShelter account.
If you are uploading a folder containing nested folders and files within, select the destination Collection
If you are uploading individual files, select the destination Gallery
The green Transfer button will activate (the arrow will turn green) only once you have matched the correct selections.
If you need to, you can create new Collections and Galleries in your Library right from within the Desktop Uploader app by clicking the +Gallery or +Collection buttons.
Whatever level is highlighted in the right window pane when you click the button, that is the level the new Collection or Gallery is created within. Note: you cannot modify your creation in the Desktop Uploader app. You will need to complete the upload and edit later on within your PhotoShelter Library using your web browser.
Above: Individual images are selected in the left pane for upload into a Gallery in the right pane.
Above: In this bulk upload, entire folders are selected in the left pane, for upload into a nested Collection in the right pane. Galleries will automatically be created in that Collection with the names of the folders from the left pane.
6. Click the green Transfer button on the menu bar to activate the upload.
7. You will then be asked to assign the upload to a Photographer, which references the users in your PhotoShelter for Brands account's Contributor list (found under Admin > Library Staff)
Note: You may want to add all photographers (current and historic) to your Contributor list prior to completing an upload. If they will not be active Contributors, be sure to un-check the notification box when you add them as a Contributor so that they have no idea they are even on this list and are never prompted to set a password for their login.
8. The upload will begin immediately but can be stopped or paused by clicking on the corresponding buttons in the navigation bar.
When the upload is complete, you'll see a pop-up window indicating that the uploads have been completed.
If you do not see the uploaded images or Galleries in your PhotoShelter Library, simply refresh your browser tab.
Preferences
Click Prefs in the top toolbar to change your upload settings.
Ignore Already Uploaded Files
If "Ignore already uploaded files" is ON (checked), the uploader will check the gallery you're uploading to for any existing files with identical filenames (including file extension) as those in your upload. It will skip uploading any duplicates to that gallery. Note: If you are completing your first, initial upload into your PhotoShelter for Brands account, there is no way to skip duplicates as this option is only checking for matches with existing files in PhotoShelter.
